ABOUT THE POSITION
We are looking for an experienced Practice Coordinator to serve as the operational backbone of our growing practice. This role focuses on the technical administration of the business (credentialing, billing, systems), but also serves as a critical leadership support for our client care team.
We need a flexible team player who is comfortable handling high-level compliance projects but is also willing to step in and cover front-desk duties (phones/scheduling) when needed to keep the practice running smoothly.
THE "BOOKEND" SCHEDULE (FLEXIBILITY)
We value work-life balance. This role operates on a Split-Shift Schedule, designed for candidates who need freedom during the middle of the day.
Morning Check-In: You must be online for approx. 30–60 mins at the start of the business day (e.g., 9:00 AM) to triage urgent needs.
Daytime Freedom: The middle of the day is yours. You are free to log off and manage personal responsibilities.
Evening Wrap-Up: You must be online for approx. 30–60 mins at the close of business (e.g., 5:00 PM) to finalize claims and confirm the next day’s schedule.
Flexible Work: The remaining hours of your weekly workload can be completed at your discretion during the day, provided deadlines are met.
KEY RESPONSIBILITIES
Billing & Claims Resolution: Go beyond simple submission. Investigate denied claims, manage the A/R aging report, and communicate with payers to resolve complex issues (e.g., Coordination of Benefits, retroactive terminations).
Credentialing Management: Manage the end-to-end credentialing process for new and existing therapists (CAQH, PECOS, OneHealthPort, commercial payers).
HR & Onboarding: Manage administrative onboarding for new clinical staff, setting up EHR profiles, email accounts, and payroll documentation.
Cross-Functional Coverage (Backup Support): Serve as the primary backup for the Virtual Office Assistant. During staff leave, vacations, or high-volume periods, you will step in to cover client intake, scheduling, and general inbox management to ensure no client is left behind.
Systems Optimization: Audit our current workflows in Sessions Health and Google Workspace to reduce administrative burden on clinicians.
Compliance: Maintain strict HIPAA compliance and a secure, private home office environment.
QUALIFICATIONS
Residency: Currently residing in Washington State (Required).
Experience: Minimum 2+ years of administrative experience in a mental health or medical private practice setting.
Billing Fluency: Experience with systems such as OneHealthPort, Availity, NPPES, and CAQH is highly preferred. You should be familiar with CPT, HCPCS, and ICD-10 coding.
Tech Savvy: Proficiency in Sessions Health is strongly preferred. (Experience with SimplePractice or TherapyNotes is acceptable if you are tech-savvy and willing to learn quickly).
Adaptability: Willingness to "wear multiple hats," switching between complex billing audits and warm, empathetic client scheduling as business needs dictate.
Communication: Ability to communicate professionally and warmly with clients and colleagues.
Spanish Language: Bilingual proficiency (written and verbal) is optional but highly desired.
